Ontario has three distinct types of police checks. Choosing the wrong one wastes time and money — here's exactly what each covers and when you need it.
| Check Type | Provider | What's Included | Turnaround | Cost | In Person? |
|---|---|---|---|---|---|
| Criminal Record CheckSafeHire provides this | SafeHire / Online | Convictions, outstanding warrants, judicial orders | 15 minutes | $64.99 | No — fully online |
| Police Record Check / Police Information Check | OPP or Municipal Police | Convictions, plus potentially non-conviction info (withdrawn charges, peace bonds, mental health apprehensions) | 3–10 business days | $41–$65 | Yes — required |
| Vulnerable Sector Check | Local Ontario Police (in person only) | Everything above, plus pardoned sexual offences | 1–6 weeks (fingerprints required) | $25–$90 | Yes — required |
The standard check searches the RCMP Canadian Police Information Centre (CPIC) database for criminal convictions, outstanding warrants, and judicial orders by name and date of birth. This is what SafeHire provides and what most Ontario employers request for standard employment screening.
Obtained through the OPP or a municipal police service, this check may also include non-conviction information such as withdrawn charges, peace bonds, absolute and conditional discharges, and mental health apprehensions — depending on the police service's discretion and Ontario's Police Record Checks Reform Act (2015).
The most comprehensive check, additionally searching for pardoned sexual offences. Required under Ontario law for anyone working with children, the elderly, or persons with disabilities. Fingerprinting is mandatory, and the check must be done in person through your local Ontario police service.
SafeHire provides criminal record checks. Vulnerable sector checks must be obtained through your local Ontario police service.
Ontario's regulatory bodies set specific criminal record check requirements. Here's what applies in your field.
Regulated by: College of Nurses of Ontario (CNO), College of Physicians and Surgeons of Ontario (CPSO), Ontario College of Pharmacists
Criminal record checks are mandatory for initial registration and periodic renewal across all regulated health colleges in Ontario. This applies to nurses, physicians, pharmacists, physiotherapists, occupational therapists, and dozens of other regulated professions. The CNO requires nurses to disclose any criminal findings and may require updated checks upon registration renewal.
Regulated by: Ontario College of Teachers (OCT)
The OCT mandates a criminal record check with vulnerable sector screening for all teacher certification applicants, supply teachers, and educational assistants working in Ontario's publicly funded schools. The check must be dated within 6 months of the application. School boards independently require annual or biennial criminal record checks for staff.
Regulated by: Ontario Ministry of Education (Child Care and Early Years Act — CCEYA)
Under the CCEYA, all staff and regular volunteers at licensed childcare centres must provide a vulnerable sector check before commencing work. The Ministry requires checks for anyone who could have unsupervised access to children in care. Annual or periodic rechecks are required depending on the operator's policies.
Regulated by: Real Estate Council of Ontario (RECO)
RECO requires a criminal record check as part of the salesperson and broker registration process. Applicants with criminal convictions are subject to a suitability review. Real estate professionals must also disclose any subsequent charges or convictions to RECO during the renewal period.
Regulated by: Private Security and Investigative Services Act (PSISA)
Ontario's PSISA mandates criminal record checks for all security guard and private investigator licence applicants. The Ministry of the Solicitor General reviews criminal history as part of the licensing suitability assessment. Certain convictions automatically disqualify applicants, while others are evaluated on a case-by-case basis.
Regulated by: Financial Services Regulatory Authority of Ontario (FSRA)
FSRA requires criminal record checks for insurance agent and mortgage broker licence applicants in Ontario. Registrants must disclose criminal charges and convictions as part of the application and renewal process. This applies to life, health, and property & casualty insurance as well as mortgage brokerage.
Regulated by: Ontario Ministry of Transportation
Commercial vehicle operators, school bus drivers, and certain municipal transit workers in Ontario require criminal record checks. Under Ontario Regulation 612, operators of commercial motor vehicles must maintain fitness standards. Many transit authorities and trucking companies also conduct checks for safety-sensitive roles.
